General Meeting of the Association
Thursday, March 26, 2009
Call to Order: A general Meeting of the Glenhope Elementary PTA was called to order on Thursday, March 26, 2009 at 8:22.
Members Present: A quorum was established. The attendance was 28. The sign-in sheet is attached.
Approval of Minutes: The minutes of the November 20, 2008 meeting were approved by committee and submitted for record. Three volunteers are needed for a committee to approve today’s minutes. Robin DeMarrais, Lisa Stegall and Bella Kaplan will make up the committee.
President’s Welcome: The President Denise Procaccino reported that on Monday, March 9th the David Bagwell Company planted 8 new trees to provide shade for the playground. This event was featured in the Colleyville Courier and also listed on Our Great City Web site.
Denise also announced that a new sign, purchased by the PTA was installed in the faculty parking lot on March 15th. The sign reads Faculty and Staff parking only.
Denise announced that April will conclude Cindy Miller’s Bee Kind Campaign and that the PTA is purchasing bicycles and helmets for prizes for this campaign.
The President requested volunteers for the Audit Committee. Brenda Williams and Carla Poole will serve on the committee along with one member that has done it before.
Principal’s welcome: Dr. Griffin welcomed everyone to the meeting. She reported on the success of the recent TAKS testing, noting the strong scores in third grade. She thanked the volunteers for understanding the request for only classroom help during these tests. She also reminded the group that the parent survey is still available and encouraged everyone to take it.
Treasurers Report: Lisa Stegall reported on the transactions and budget since the last meeting. She read the beginning balance, the receipts, disbursements and balances. This report is attached. She requested that we move $1300 to the Needs Assessment Budget to cover new purchase expenses. A motion was made by Terri Parrish and seconded by Pam O’Quinn. Denise Procaccino called for a vote and the vote passed. The vote will be submitted for records.
Reports of Standing and Special Committees:
Needs Assessment: Denise Procaccino updated the group on the purchases decided on by the needs assessment committee. The PTA will purchase a new awning, Di-Cuts, folding risers and tetherballs. This expense will not exceed $7000.
Senior Scholarships- Anna Chatoney announced that PTA and Dad’s club scholarship forms are available to HS Seniors who completed at least one year at Glenhope. These forms are available at the high school counselor’s offices or in Glenhope’s main office.
Gator Tales: Denise announced the return of Gator Tales. It is a writing competition starting in second grade. The winners will be announced at the next General Membership. Their work will be published and each winner will be given a copy.
Rebates: Robin DeMarrais reported that we have exceeded our goal for rebates this year and is planning parties for the classroom winners of box tops.
Staff Appreciation: Bella Kaplan reported that the staff appreciation week is coming soon and plans are in the works. She also reported that the PTA provided a snack cart for the teachers for Open House.
Friends of Children- Lisa Miller announced that the Friends of Children nomination forms will be passed out this week.
Earth Day- Denise Procaccino reported on the plans for Earth Day 2009. Uma Benzick and Diane Cauwels have been planning events for the school that day.
New Business
Robin DeMarrais reported that the Nominations Committee has filled the slate for officer elections for 2009-2010. Pam O’Quinn and Denise Procaccino read the slate and called for a vote on each position. The votes passed.
Announcements:
Rebekah Reed announced the great volunteer opportunity available through Destination Imagination. She also announced that we need a coordinator.

General Membership Meeting
November 20, 2008
Call to Order- and General Membership Meeting of the Glenhope Elementary PTA was called to order on Thursday November 20, 2008 at 6:34pm by President Denise Procaccino. The Secretary Stacy Blaxton was present.
Members Present – A quorum was established. The attendance was 34.
Approval of Minutes – Three members volunteered to approve the minutes by committee. The committee includes Perry Green, Leslie Marr and Jennifer Hagen. The minutes will be approved by the committee and posted to the website within 7 days.
Reports of Officers & Principal:
The President’s report was given by Denise Procaccino. She welcomed everyone to the Arts and Reflections Gallery Night. She thanked Leslie Marr and her committee for organizing the contest and thanked all of the participants.
Denise announced the Heritage Day events for Friday November 21.
Dr. Wynette Griffin welcomed everyone to Gallery Night.
Denise Procaccino gave the treasurers report. It is attached. She then called for a motion to adopt the budget as read. Lisa Mills made a motion to approve the budget as read. The motion was seconded and carried. The vote passes.
Denise Procaccino reported on the findings of the audit committee for the 2007-2008 school year. There were 2 checks without receipts, 2 checks written for cash and a missing bank statement. All of the findings were checked and measures are in place to prevent this in the future. Denise Procaccino moved to adopt the report of the 2007-2008 Audit committee. She said “Because the recommendation comes from a committee, no second it needed.” The vote passed.
Reports of Standing and Special Committees:
Denise Procaccino reported on Breakfast with Santa. The date is December 6th at 8:30 am. She requested that interested volunteers contact Candy Corbett.
Denise Procaccino announced that the new PTA website created by Lisa Mills is up and running.
Denise Procaccino announced that Robin DeMarrais will be taking over the rebates program. The program will soon include new opportunities.
Announcements: Stacy Blaxton introduced a new fundraising opportunity. Fotobridge Photo Preservation program offers 10% of all Glenhope orders go to the school.
